POSITION SUMMARY:

The Office Administrator supports daily office operations and supports functions within the Washington, DC office. This position serves as a role in ensuring a productive and positive work environment for attorneys and staff within the DC office.

RESPONSIBILITIES:

Office Administration

  • Liaises with building management and third-party vendors, contractors, and external support teams.
  • Informs local office leadership, Director, Practice Administrative Services, and Director of Facilities & Office Services of developments affecting the office operations.
  • Supports and executes the office Business Continuity Plan including security and safety standards/procedures.
  • Establishes maintenance standards and practices; supervises management of physical facilities.
  • Oversees office aesthetics and general appearance.
  • Oversees office space needs for all office personnel and visiting lawyers.
  • Assists with new hires and their onboarding, and visiting personnel administrative support needs.
  • Provides and/or oversees direction and guidance relative to office and building social events.
  • Supports firm technology needs including conference room audio-visual equipment, and firm issued mobile devices.
  • Anticipates and prioritizes customer service needs/administrative needs and deliver high quality service and results.
  • Ensures compliance with firm policies and procedures, including interpretation, communication, administration, and implementation.

Practice Administrative Assistant

  • Supports internal and external client experience efforts.
  • Suggests enhancements to procedures to expedite projects and improve effectiveness of duties and responsibilities.
  • Coordinates internal and external meetings with limited direction based on meeting requirements.
  • Composes, edits, and, proofreads correspondence, presentations and other documents.
  • Enters and releases timekeeper submissions in the time entry system.
  • Manages projects as assigned by Practice Administrative Services (Excel, Interaction, Data Accuracy, Funds Database, Electronic Closing Binders, Interaction).
  • Provides continuous status updates on projects and assignments to appropriate key stakeholder(s).
  • Manages new client/matter and conflicts process on behalf of assignment(s).
  • Serves as a liaison between the business departments and the assignment(s).
  • Coordinates with Marketing & Business Development to provide marketing materials for business development efforts.
  • Manages attorney social media, and coordinates efforts to update social media platforms on behalf of attorney.

EDUCATION:

Relevant certificate or technical school degree; and/or equivalent combination of education and experience.

REQUIRED SKILLS:

A minimum of 5 years of progressively responsible business experience

Experience in a law firm or other professional services environment strongly preferred.

Excellent communication, interpersonal, and organizational skills.

Ability to interact well with all levels of management and staff.

Strong attention to detail.

Sound judgment and discretion.

Demonstrated problem-solving skills.

Expert proficiency with the MS Office (Word, Excel, PowerPoint and Outlook) and other Firm-wide applications. Has the ability to adapt to new software programs and platforms.

Strong organizational skills that reflect ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail.

Handles matters confidentially, expeditiously and proactively.

Possesses exceptional verbal and written communication skills adhering to proper business writing standards.
