Job Details

We have a current need for Administrative support. The start date is ASAP and is an ongoing, potential for extension based on budget and business needs each fiscal year. The scope of work is:



This position will primarily support the Honest Broker Operations Committee (HBOC). This is an OSUWMC governance committee that ensures the appropriate use of OSU Health System data for secondary research purposes, including reviewing, prioritizing, and monitoring the data accessed by individual researchers. HBOC follows a protocol that is approved by the OSU Institutional Review Board (IRB)



Job brief

Provide clerical and administrative support to fulfil HBOC's roles and responsibilities and implement consistent workflow of HBOC's protocol.
Work with Co-chairs of HBOC for completing regular tasks including execution of weekly meetings and preparation of related documents and reports.


Responsibilities

Manage HBOC Teams/SharePoint site
Upload and maintain content on HBOC website
Develop and maintain a filing system
Track training status and associated documentation for approximately 80 honest brokers and system experts
Manage weekly meeting agendas and arrange new meetings and appointments
Support and facilitate the completion of regular meeting minutes and reports
Prepare and disseminate correspondence, memos, and forms, as requested by co-chairs
Support for slides, reports, and communication materials as needed
Maintain, file and update contact information of HBOC
Coordinate and track periodic reviews/audits of honest broker activities


Conformance to dress code and wearing of OSUWMC Contractor ID badge at all time is required.

Provide support to Departments and the following levels: (M3), Professor, Faculty, Administrator, (M4), (M5) Assistant Dean, Chair

Uses calendaring software; learning and using basic functions of timekeeping, travel, expense, payables, and procurement systems.



Learning about reports and data for departments.

Very knowledgeable with calendaring software; knowledgeable with timekeeping, travel, expense, payables, and procurement systems.



May provide answers or research questions on the process or system use.



May provide reports and data for departments.

Encounters some confidential documents or materials.



Building relationships with support staff to help accomplish work.



Is provided structured work assignments but may offer suggestions.

Exposed to sensitive discussions or issues. May attend meetings and take minutes. Exercises confidentiality and tact.

Provides support to others who have planned an event and may lead set up, teardown, etc.



May research or creates simple travel itineraries.



Provides support for communication events and may lead assembling packets, mailings, etc.

May lead a portion of a special event; collaborates on the overall coordination of special events including selection of venue, catering, etc.



Creates travel itineraries.



Collaborates on communication events and may engage with print venders, help prepare large mailings, coordinate assembly of materials, etc.

High School diploma or GED



Certification or vocational training may be preferred

Associate degree in relevant field may be preferred
