Position Summary:

The administrative assistant provides administrative support across the organization and is based at our main administrative office at Conway Health and Resource Center in SW DC. This is a full-time position and will require you to be onsite. This is not a remote position.

Salary - Indeed provides its own estimated salary calculator and is not affiliated with COH's range. The salary range for this position is $45k to $50k and is based on education and experience.

On-site: A majority or all of the position is required to work on-site. Please note that work designations are subject to change or fluctuate at any point in time and the supervisor may require in person learning for a specific amount of time after hire.

Highlighted Duties and Responsibilities:

  • Opens, sorts, and distributes incoming mail daily including interoffice mail.
  • Manages correspondence for executive team, including sending out mail and packages as needed.
  • Assists President/CEO with monthly Board meeting preparation, including procuring committee reports and documentation, preparing and sending Board packages, conducting follow-up calls for attendance counts, and arranging transportation for Board members who request it.
  • Coordinates logistics and scheduling for meetings of the Board of Directors, committee meetings, and other meetings at CHRC, reserving space and ordering food and drinks as needed.
  • Receives, reviews, and places office supply requests for all CHRC departments twice per month. Manages and monitors inventory of supplies and levels of stock for administrative team and 4th floor common areas monthly. Distributes and puts away supplies when received. Reviews, codes and approves supplies invoices.
  • Serves as the Point of Contact for building deliveries and coordinates with the point person on each floor for review and confirmation of receipt accordingly
  • Monitors and manages all general office equipment at CHRC, including adding postage to the postage meter, calling for support for the copiers and printers as needed, monitoring stock and replacing ink/toner cartridges.
  • Prepares and maintains daily check logs. Sorts, logs, and scans all incoming checks which are forwarded to the Finance Specialist for deposit within 1 business day of receipt.
  • Collaborates with the patient billing department to processes patient refund payments and updates the refund report on a weekly/monthly basis.
  • Collaborates with the procurement team to receive all Envi related packages and complete the receiving process for the CHRC admin build.
  • Receives and responds to all incoming calls to assist and/or direct the caller appropriately in a professional manner.
  • Assists employees as needed fielding questions and directing them to the appropriate team member or resource accordingly.
Requirements

Minimum Qualifications:
  • High school diploma/GED required. Some college coursework is preferred.
  • 3-5 years prior administrative experience in a fast-paced office environment required.
  • Excellent verbal and written communication skills required.
  • Strong attention to detail and organization skills.
  • Team player, highly organized and able to meet strict deadlines, with the ability to prioritize and simultaneously manage multiple tasks.
  • Ability to handle sensitive information with care and discretion to ensure confidentiality.
  • Experience with Microsoft Office, including Word and Excel required.
  • Customer service focused.
  • Notary public or ability to obtain certificate within 6 months of hire.

For over 40 years, we have provided healthcare, housing, and supportive services for under-resourced, underserved and people experiencing homelessness in Washington, DC. As a Federally Qualified Health Center, we provide medical, dental, emotional wellness, and care coordination services for the whole family at three locations in DC.
