Responsibilities

  • Executes administrative duties on behalf of the executive, encompassing managing a highly dynamic calendar, preparing confidential correspondence, and orchestrating intricate travel arrangements, itineraries, and meeting agendas.
  • Takes charge of planning, coordinating, and maintaining their schedule, acting as a pivotal concierge to optimize their time and accessibility, fostering mutually beneficial interactions.
  • Represents the executive in direct communication with the firm s leadership team, staff, and external stakeholders, conveying her initiatives and directives effectively.
  • Conducts thorough research, triages incoming issues and concerns, and handles sensitive or confidential matters with discretion, determining appropriate actions or responses.
  • Bridges communication gaps between the executive and internal departments, exhibiting leadership and fostering trust to uphold credibility within the leadership team.
  • Collaborates closely with the executive to ensure they remain well-informed of upcoming commitments and obligations, facilitating seamless coordination and follow-up.
  • Demonstrates leadership by cultivating essential relationships vital to the organization's success and managing various impactful projects on behalf of the executive.
  • Prioritizes competing demands, adeptly navigating deadline pressures and stakeholder expectations to ensure timely and successful project completion.
  • Undertakes additional administrative tasks as assigned or necessary to support the efficient functioning of the office and organization.


Ideal Experience

  • Bachelor s degree required with 4+ years of experience supporting executive/c-level leadership.
  • Expert-level written and verbal communication prowess.
  • Proactive problem-solving with strong decision-making capability
  • Meticulous attention to detail and follow-through; perform tasks with accuracy and efficiency.
  • Highly resourceful team player, with the ability to work independently.
  • Proven ability to manage confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions.
  • Comfortable working in a start-up environment.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), and Adobe Acrobat.
