Executive Assistant to Chief Marketing Officer

The Mullings Group is looking for a full-time Executive Assistant to join our team and directly support our Chief Marketing Officer. In this role, you will assist the CMO with a variety of administrative tasks and strategic projects for the media and marketing departments and act as their liaison across various functions within the organization, as well as externally with clients. You will be responsible for executive-level communications, project coordination and overseeing timelines, calendar management and scheduling, creation and deployment of client contracts and marketing/media deliverables, and more.


A highly collaborative person who is also comfortable working as an individual contributor and making decisions will thrive in this role. You should be an excellent communicator, naturally resourceful with the ability to solve problems, be highly organized with great attention to detail, and possess the ability to multitask in a fast-paced environment.


Proficiency with standard office software platforms is a must (Microsoft, Teams, Google Suite, Zoom, etc). Familiarity with creative and project management platforms is a plus (Adobe Creative Cloud, SmartSheet, frame.io, Canva).


Please note that this role is in-office 5 days a week at our headquarters in Delray Beach, FL.


Responsibilities, including but not limited to:


  • Managing meetings and calendar invites, including meeting recaps/notes when applicable
  • Manage Business Development pipeline and support prepping/sending BD Marketing Materials
  • Production calendar management
  • Production scheduling
  • Conference prep and support
  • Supporting ongoing priorities and initiatives
  • Support with drafts for Proposals/SOWs
  • Partnership support
  • Client interaction
  • Booking travel
  • In-studio client support and studio management support when needed
  • Help align processes and procedures


Qualifications:


  • Bachelor s degree
  • 4-5 years of applicable experience
  • Detail-oriented and able to meet deadlines
  • Extremely organized
  • Creative mindset and approach
  • Very technically savvy and familiar with Zoom and shared document platforms like SharePoint and Gdrive
  • High level of expertise in Microsoft Office suite
  • Experience with PM platforms, a plus
  • Comfortable being both an individual contributor as well as working with a team
  • Excellent communication skills, both written and verbal
  • Ability to work in a fast-paced environment
  • Self-motivated & self-sufficient with proven ability to take initiative and create solutions, and desire to make a tangible impact
