Job description

Dobbs Defense Solutions is looking for an Administrative Assistant to join our team. The ideal person for this position will be supporting executive-level leadership with dedicated executive administration and support scheduling, travel plan, departmental event coordination, and streamlining administrative processes. Provide high energy with excellent organization skills, strong attention to detail, the ability to communicate effectively in written and verbal communications, excellent listening skills, and multitasking.


Duties

  • Must live in the DMV area, close to Bowie/Baltimore/Rockville/College Park area
  • Hard requirement: Must have a vehicle to travel between our offices to move/ship/distribute procurement, as necessary, and we will reimburse mileage.
  • Must work at least two days per week for mail pickup/delivery.
  • Responsible for scheduling/coordinating executive leadership calendar and meeting preparations
  • Ability to format memos/letters/and other documentation according to DoD procedures
  • Office tasking to include assisting executive leadership with internal procedures and documentation
  • Draft comprehensive meeting minutes; Ability to receive a task, initiate and follow through with minimal assistance to write up documentation, coordinate with relevant personnel
  • Use Travel Services to schedule travel; Provide Record keeping/filing of travel documents, statements of work, timecards

Qualifications
Required Education and Experience:

  • Associate degree in English or Business Administration or related field required
  • Bachelor s degree in English and at least 3-5 years of administrative experience or related field required
  • 3-5 years of related experience supporting administrative functions at the executive level
  • Experience with Microsoft Office (Outlook, Word, PowerPoint, Excel, SharePoint, and Microsoft Teams) or related software
