Order Entry Administrator

**Job Purpose**

This role is responsible for processing all customer sales orders. Reporting accurate information and resolving issues in a timely manner, while supporting good relationships with both internal and external customers.

**Nature of Duties**

* Maintains customer files with sales contracts and other information

* Process orders for materials or merchandise from sales staff or direct customer contact.

* Effectively responds to inquiries regarding order status and resolves customer invoicing difficulties i.e. credit and re-bills

* Assist in resolution of outstanding invoice problems from past due accounts, may place calls or send messages to those with unresolved issues.

* Required to coordinate with departments regarding order status, shipping dates, product availability and back orders and provide feedback internally and/or externally

* Gives price quotations, completes order sheets, and checks the price and quantity of each item listed.

* Provide internal reports when necessary related to sales

* Distributes order sheets to respective departments

* Work on assignments that are moderately difficult, requiring judgment in resolving issues or making recommendations.

* Work closely with AR (accounts receivable) team, providing administrative support to keep past due invoices to a minimum

* Apply acquired job skills and company policies and procedures to complete assigned tasks

* Participate in the continuous improvement quality processes (i.e. Lean Mfg, Six Sigma, ISO 13485)

**Education & Skills**

* Associates degree or other equivalent experience in areas relating to administration or accounting

* 4-6 years of experience in a fast paced order management role or customer service role in a high mix manufacturing environment required

* Excellent data entry skills to quickly and accurately review and input data

* Oracle, SAP and ERP experience preferred

* Intermediate Computer skills, Microsoft Office skills (Excel, Word,) are required

* Effective communication (both verbal and written)

* Must have strong attention to details and high level of accuracy, including organizational skills

* Ability to deal effectively with internal or external customers, peers and management

* Work well under pressure and maintain professionalism during stressful situations

* Willingness to work 40+ hours a week when required
