Job Details

Responsibilities

  • Schedule personal and business appointments and organize calendar
  • Supply reminders for upcoming meetings & events
  • Order scripts and manage script inventory
  • Work closely with the COO of the Principal s businesses and follow his lead as it relates to tasks
  • Keep track of all storage units and inventory
  • Coordinate household services and repairs for Miami residence plus two other residences in coordination with House Manager
  • Owner s Representative on remodeling projects
  • Sort mail and process as directed in coordination with the business assistant and COO
  • General administrative work including research, correspondence/emails, texts, and phone calls
  • Travel assistance for all trips and liaison with travel agent, including flights, car services, restaurants, and hotel arrangements
  • Work with the business assistant to pay invoices as directed
  • Taking care of insurance matters including claims for medical, dental, vision, and pet care
  • Keep track of all phone, internet, and cable/satellite accounts for all residences
  • Run errands as needed for family/household
  • Shipping & mailing through FedEx, UPS, and USPS
  • Online ordering, including buying and sending gifts
  • Ad hoc duties as assigned


Qualifications

  • Strong critical thinker with ability to anticipate what is needed
  • Resourceful, detail-oriented, and able to communicate effectively
  • Adept at knowing the proper time to speak and when to listen in order to retain the critical flow of knowledge and details
  • Capable of getting along with all types of personalities and working as a team player with all members of the personal and business teams
  • Microsoft Office knowledge, especially Outlook, Word, and Excel
  • Familiar with Scheduling Meetings specifically using Zoom
  • Tech-savvy with the ability to quickly learn new software and processes
  • Exceptional organizational and time management skills
  • Follow instructions clearly and accurately and complete tasks in a timely manner
  • Extreme confidentiality, integrity, and discretion are a must
  • Work under pressure while delivering excellence
  • Motivated, proactive, and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
