Landscape Design Assistant


Job Details

We are seeking a dynamic and organized individual to join our team as a Landscape Design Assistant. This role is crucial in supporting our lead designer and ensuring smooth operations within our landscape design company. The ideal candidate will excel in managing various responsibilities, including coordinating material orders, scheduling job installations, client communications, estimates and proposals creation, and assisting the lead designer.


Responsibilities:


Estimates and Proposals Creation:

  • Collaborate with the lead designer to prepare estimates and proposals for potential projects, including cost calculations, project timelines, and scope of work details.
  • Customize proposals to meet the specific needs and preferences of clients, ensuring accuracy and professionalism in all documents.


Material Procurement Coordination:

  • Coordinate with suppliers and vendors to preorder materials required for upcoming job installations, ensuring timely delivery and adherence to project timelines.
  • Maintain accurate records of material orders, invoices, and receipts, and communicate any changes or delays to relevant stakeholders.


Job Installations Scheduling:

  • Schedule job installation days in coordination with the lead designer, clients, and installation crew, taking into account project requirements, weather conditions, and crew availability.
  • Communicate installation schedules and any updates to clients and installation crew members to ensure alignment and minimize disruptions.


Client Communications:

  • Serve as the primary point of contact for client inquiries, requests, and feedback, providing excellent customer service and timely responses.
  • Keep clients informed about project progress, upcoming installations, and any changes to the timeline or scope of work.


Personal Assistant to Lead Designer:

  • Provide administrative support to the lead designer, including managing calendars, scheduling appointments, and organizing meetings.
  • Assist in research tasks, such as sourcing design inspiration, gathering information on plant varieties, and preparing presentations or proposals.


Work Ticket Creation:

  • Create daily work tickets outlining the tasks and objectives for the installation crew, including site locations, materials needed, and specific instructions.
  • Ensure that work tickets are accurate, detailed, and distributed to the installation crew in a timely manner to facilitate efficient workflow and project completion.


Qualifications:

  • Bachelor's degree in landscape design, horticulture, marketing, communications, or related field preferred.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication skills, both verbal and written, with a customer-focused approach.
  • Proficiency in Microsoft Office Suite and social media management tools.
  • Ability to work collaboratively in a team environment and adapt to changing priorities.
  • Knowledge of landscape design principles, plant varieties, and construction processes is a plus.
