Description

Job Description: FT employee for larger sized (~13,000 patients) pediatric practice that acts as a direct conduit between the managers and the leadership team, overseeing practice management, human resources, customer relations

Specific Job Responsibilities

Practice Management:

  • Identify and develop new practice policies and initiatives to improve work flow and customer experience
  • Execute strategic solutions as directed by leadership
  • Become an ECW (EMR program) superuser
    • Develop proficiency in front desk check in process
    • Understand template usage
  • Office supply ordering and budget management
  • Facility maintenance management
Customer Service/Patient directed Initiatives:
  • Provide ongoing customer service training for staff
  • Manage customer service complaints in conjunction with leadership
  • Patient Population Management
    • New patient onboarding process
    • Patient retention
    • Initiatives to maximize provider schedules
  • Patient policies
    • Updated/reviewed annually and as needed
Human Resources:
  • Handling staff issues/questions/concerns
  • Global employee retention initiatives
  • Oversight of department managers
    • Documentation of corrective behavior meetings
  • Organizing/Tracking of Online Employee Awareness Trainings
    • Harassment, Diversity, HIPAA
  • Payroll Processing
  • PTO Oversight
  • Insurance benefit enrollment, updates and termination management
  • Managing staff reimbursements
Compliance:
  • Employee handbook oversight and compliance
    • Full review to be completed annually
  • OSHA
  • Oversight of all disciplinary actions

Employee Recruitment:
  • Manage job postings on Indeed
  • Assist with phone/initial intake interviews
  • Run background checks and complete reference checks on candidates
  • Initiating offer letters and coordinating hire dates
  • Managing/oversight of the onboarding process (in coordination with department manager)
Communication:
  • Dissemination of new policies to staff
  • Elevate staffing/practice issues to leadership team
  • Coordinate and oversee employee surveys
  • Coordinate and oversee anonymous complaint/suggestion forums
Staff Engagement Activities:
  • Diversity, Equity and Inclusion Programming
    • Juneteenth, Hispanic Heritage Month, Black History Month
  • Employee life cycle event acknowledgement
  • Programming for Professional Days
    • Nurses, Admin, Physicians, NPs, PAs, Mental Health Providers
  • Coordination of company happy hours
  • Support managers in coordinating team building activities
  • Staff/Provider meeting coordination and set up
    • Meeting documentation and sign in sheets

Educational/Experience Requirements:
  • Bachelor of Science in Human Resources or related field
  • Professional Certification in Human Resources
  • 5-7 years of human resources experience
  • 5+ years of medical practice management experience
  • Strong knowledge of employment laws (OSHA, FMLA, other relevant regulations)
  • Working knowledge of payroll systems (Paylocity preferred)
