Polished, professional and highly organized Executive Assistant to support a distinguished CEO and philanthropist who expects excellence. The ideal candidate will possess exceptional communication skills, discretion and a proactive mindset to handle a wide range of responsibilities with poise and efficiency. This position entails extensive calendar coordination across multiple ventures, travel coordination, strategic gatekeeping, and all EA responsibilities. Must have C-Suite Executive Assistance experience. This position is approximately 40% in the Manhattan family office with the balance hybrid/in-person, as needed. There is an absolute expectation of being at a desk during working hours and as needed for emergencies after hours.
Responsibilities
Act as the primary point of contact between the principal and external parties
Coordinate daily calendar
Manage correspondence, emails, and phone calls, ensuring timely and discreet communication
Coordinate extensive travel
Manage phone calls and draft emails
Organize and maintain important documents, files and records
Prepare and review documents as requested
Facilitate communication and coordination with spouse s personal assistant
Requirements
Minimum of 5 years experience in a similar role, at a large firm or UHNW environment
Must exemplify professionalism, focus and competence
Excellent organizational skills with an ability to think proactively and prioritize work
Strong communication skills (via phone, email and in-person)
Expertise in MS Office and Google Calendar
Tech Savvy
Proven work experience as a C- level Executive Assistant in a C-Suite
Reliable internet connectivity from home
A phone reference from two, and preferably all principals will be required
Please note, working for a company owner is not necessarily C-Suite experience
