8 Job Description Objective: The RMB has identified the need to digitize up to 54 boxes of paper records containing a total of no more than 950 file folders with varied amounts of documents. RMB is requesting to use the Human Resources Division (HRD) service support contract to solicit support staff to digitize the records using document scanners acquired by the Office of Technology Services (OTS). The output of this effort is to standardize and simplify the search and retrieval of the records and manage throughout its long-term lifecycle.

Requirements:

The contractor shall provide two (2) individuals on this contract to perform on-site document scanning, Monday through Friday, 8:00 AM through 4:30 PM, with the following qualifications:



Qualifications



(a) Contractor shall have a minimum of four (4) years professional work experience.



(b) Contractor shall be proficient with Microsoft Office computer software applications to include, but not limited to, Microsoft Excel, Word, SharePoint Online (including Teams), and Outlook.

(c) Contractor shall be able to physically lift numerous file boxes on average of 45 pounds daily.

(d) Contractor shall have experience using a high-speed scanner to produce electronic PDF or TIFF for storage.



The Contractor shall complete the following tasks:

Task 18: Administrative Support Duties:

vi. Establishes and maintains files for the office.

vii. Applies knowledge of personal computers and various software applications to accomplish work activities, including tracking action and suspense items and maintaining databases and automated records.



9 Skill set info Duties will vary depending on the activity an operator is assigned the post holder

should be able to undertake the following:

" Prepare physical documentation for scanning in accordance with file preparation

procedure.

" Scanning of documents on high speed scanning stations and image capture via

camera of physical cherished documents.

" Quality check completed scanned document and save document file onto the

Network Storage System.

" Accurately file name and index scanned documents.

" The physical retrieval of hardcopy files from the onsite storage location.

" The physical return of hardcopy files to allocated shelf in the onsite storage

location.
10 Education Key personnel experience will be evaluated to determine the degree of and relevance of experience the Key Personnel possess related to the tasks outlined in the BPA call order. All proposed key personnel must meet or exceed the minimum qualification requirements. Please note that, as a condition of call order award and performance, should the contractor wish to substitute proposed Key Personnel, the replacement staff must possess education and/or experience equivalent to or exceeding that of the individual(s) being replaced, subject to the approval of the Contracting Officer, prior to performance
