Legal Secretary

We are seeking a highly organized and efficient legal secretary for a great law firm here in El Paso. The ideal candidate will provide administrative support to our legal staff, assist in preparing legal documents, maintain client files, and ensure the smooth operation of the legal office. The legal secretary will play a crucial role in facilitating communication between attorneys, clients, and other parties involved in legal proceedings.

Responsibilities:

  • Assist attorneys in preparing and drafting legal documents such as briefs, pleadings, contracts, and agreements.
  • Maintain and organize physical and electronic files, including client records, correspondence, and case documents.
  • Manage attorney calendars, schedule appointments, and coordinate meetings and court appearances.
  • Communicate effectively with clients, court personnel, and other attorneys to schedule hearings, depositions, and meetings.
  • Handle incoming and outgoing correspondence, including mail, emails, and phone calls.
  • Perform administrative tasks such as filing, photocopying, scanning, and faxing documents.
  • Conduct legal research using online resources and databases to support attorneys in case preparation.
  • Assist with billing and invoicing tasks, including tracking billable hours and preparing client invoices.
  • Maintain confidentiality and discretion when handling sensitive information and legal matters.
  • Collaborate with other legal support staff to ensure the efficient operation of the legal office.

Requirements:

  • Proven experience as a legal secretary or legal assistant in a law firm or legal department.
  • Experience with dictation transcription.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software applications.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Familiarity with legal terminology and procedures.
  • Ability to work independently with minimal supervision.
Working hours are 8 to 5 Monday to Friday.


Salary depends on experience.


Position could become full time with the law firm.
