Administrative Assistant opportunity with a Global Trading Firm here in Chicago. Responsibilities include providing administrative support to 3 professionals, providing calendar management, travel booking, expenses, Excel project management, and working closely with other departments.

Responsibilities

  • Handle and coordinate active calendars
  • Schedule and confirm meetings
  • Ensure file organization based on office protocol
  • Provide ad hoc support around office as needed
  • Prepare relevant documentation, coordinate agenda items
  • Anticipate issues and initiate appropriate action
  • Email monitoring, drafting communication, filing, invoices, expense preparation, preparing of presentations, etc.
  • Travel arrangements including research, flights and accommodation
  • Point of contact for monthly team allocations and reporting needs


Qualifications

  • Bachelor's degree required
  • 2-3 years of administrative experience
  • Strong interpersonal, customer service and communication skills
  • Ability to multitask
  • Proficient in Microsoft Office suite (mainly Excel)
