About the Job:

  • Be the go-to person across the team for operational assistance in orchestrating meeting set-up and take-down needs, IT and A/V coordination, scheduling and correspondence.
  • Provide meeting materials, take active meeting notes and provide summaries and follow-up deliverables.
  • Conduct research based on new business developments, providing clear and concise reporting documents on findings using Salesforce.
  • Finalize expense reports and financial tracking needs to the department s budget and process.
  • Coordinate travel booking needs for multiple partners, domestically and internationally.
  • Act as an extended administrative and operational hand to the firm to move the needle on event coordination, daily operational needs such as inventory and stock management, monitoring the receptionist area when requested, and assisting external vendors with ad hoc requests.
  • Organize information, client details and necessary documentation accurately and quickly in Salesforce.
  • Assist other departments, such as HR and IT in onboarding and offboarding processes, general process effectiveness, and troubleshooting low-level inquiries, using strong judgement on when to escalate requests.

About You:

  • Administrative thought-partner. You have at least three years of administrative support to a busy, client-centered team of leaders.
  • Client driven. Attentive to the needs of internal and external contacts.
  • Collaborative. You can work with a team towards a common goal while evaluating effectiveness along the way.
  • Resourceful. You aren t scared of tackling technical difficulties; previous experience working in Salesforce is preferred.
