Role Summary: As a Healthcare Appointment Scheduler at WelbeHealth, you play a crucial role in ensuring timely and efficient care for our participants. Your primary responsibilities include coordinating participant appointments and maintaining accurate team member availability. You'll excel in providing exceptional customer service to all stakeholders while adhering to scheduling protocols. This on-site role demands adaptability in a dynamic environment and effective collaboration with colleagues to uphold WelbeHealth's values and mission.

Duties and Responsibilities:

  • Coordinate participant appointments, troubleshoot conflicts, and meet appointment turnaround times according to WelbeHealth protocols.
  • Manage cancellation and rescheduling requests, promptly communicating changes to relevant parties.
  • Handle incoming communications, screen and resolve inquiries efficiently while maintaining documentation standards.
  • Provide outstanding customer service, embodying WelbeHealth core values.
  • Maintain and update team member availability in systems accurately.
  • Document all updates and communication in source systems as per department protocols.
  • Conduct appointment confirmations and reminders, updating appointments as necessary.
  • Review and improve scheduling processes, making recommendations for enhancements.
  • Support staff with scheduling procedures and troubleshoot basic issues, escalating when necessary.
  • Maintain flexibility in work schedule, including evenings and weekends.
  • Ensure timely and accurate completion of all documentation and mandated trainings.
  • Uphold privacy and confidentiality standards for all company information.
  • Adhere to WelbeHealth policies, participate in Quality Improvement activities, and communicate workload and priorities regularly with the supervisor.
  • Stay current with mandated occupational health screenings.
  • Demonstrate flexibility in assignments to meet evolving business needs.
  • Perform other duties as assigned.

Skills: Required Skills & Experience:

  • Proficient in data entry and multiple software platforms, with at least one year of Electronic Medical Record (EMR) experience.
  • Minimum one year of healthcare experience.
  • Exceptional customer service skills, particularly in telephone and written communication.
  • Strong problem-solving abilities and persistence in overcoming challenges.
  • Excellent organizational and communication skills.
  • Ability to work independently with minimal supervision.
  • Demonstrated ability to prioritize in a fast-paced environment.
  • Experience working with diverse backgrounds and cultures.
  • Commitment to enhancing the well-being of vulnerable seniors.

Preferred Skills & Experience:

  • Experience in a PACE setting is a plus.
