Position Summary: The Payroll Specialist is responsible for the accurate and timely processing of payroll while ensuring compliance with multi-state employment and tax laws.
Reports To: HR Manager
Essential Duties & Responsibilities:
- Ensures accurate and timely processing of payroll for assigned clients which includes but not limited to new hires, terminations, salary changes, benefits, garnishments, taxes and other employee payroll related changes.
- Collects all supporting documentation needed for payroll processing support which includes signed offer letters, approved timesheets, written approvals, and other documents as necessary.
- Process off-cycle payrolls as needed after approval from management.
- Prepares manual checks or direct deposits due to payroll errors or final paychecks in accordance with applicable state and federal laws with permission from management
- Partners with the Accounting team to ensure payroll reconciles to the general ledger.
- Reconciles each payroll s cash requirement amounts and ensures all applicable tax deposits are made accurately.
- Creates and maintains annual payout reconciliations for all payrolls processed.
- Reconciles quarterly tax reports for all federal, state, and/or local taxes.
- Manages multi-state payroll accounts including registrations, tax deposits, and general account maintenance.
- Creates and maintains late-hire & termination calculation worksheets for clients.
- Ensures retirement contributions are made timely for applicable clients.
- Creates payroll calendars for clients as needed.
- Prepares and maintains accurate records and reports of payroll transactions in an organized fashion.
- Supports the completion of the client's annual audit by responding promptly to all requests.
- Partners with HR to ensure client and employee payroll concerns are resolved timely and accurately.
- Ensures compliance with federal, state and local payroll, wage, and hour laws.
- Facilitates workers compensation audits as needed.
- Reconciles and reviews Form W-2 and W-3 for accuracy.
- Provides best-in-class client service to all parties, internal and external, which includes accuracy of work, and effective communication.

Supervisory Responsibilities:
Required Skills/Abilities:
- Knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
- Knowledge of federal, state and local payroll, wage, and hour laws.
- Proficient with payroll software or ability to learn efficiently and effectively
- Excellent organizational skills and attention to detail.
- Strong analytical and problem-solving skills.
- Proficient mathematical capabilities.
- Proficient with Microsoft Office Suites, specifically Excel.
- Ability to multi-task and work under pressure or deadlines.
- Strong time-management skills.
Education & Experience:
- High school diploma or equivalent required.
- Two years of experience in payroll processing.
- Certified Payroll Professional (CPP) credentials preferred; if not currently certified, must have the ability to obtain within one year.
Hours & Travel:
- Occasional travel may be required to meet client needs.
