Staff Recruiting Assistant


Job Details

The Human Resources Department of Arnold & Porter has an opening for a Staff Recruiting Assistant in the Washington, DC office. The Staff Recruiting Assistant will assist the staff recruiting team and provide general administrative tasks within the Human Resources Department.

Responsibilities include but are not limited to:

  • Preparing the bi-weekly staff recruiting emails.
  • Scanning/uploading recruiting documents into the Applicant Tracking System.
  • Maintaining the Application Tracking System including dispositioning applicants, checking in applicants, processing duplicate applicants, etc.
  • Posting/removing new open positions (internally and externally) and creating electronic recruiting files in iManage.
  • Administering and managing the candidate diagnostic assessment process.
  • Maintaining and updating the Staff Recruiting Open/Filled and Job Posting Smartsheets and staff recruiting spreadsheets.
  • Submitting all new hire and non-employee worker conflicts for processing and e-filing all completed forms along with the clearance emails.
  • Processing non-employee workers and entering all non-employee worker information into the HRIS system.
  • Maintaining the temporary employee spreadsheet.
  • Greeting and escorting applicants to conference rooms for interviews, as needed.
  • Processing staff employment verifications as well as invoices and expenses for the Human Resources Department.
  • Assisting with Staff Appreciation Week, Service Awards and other events hosted by the HR department.


Qualifications:

  • Two-year college degree or equivalent experience.
  • Prior office experience in a law firm, corporate or professional environment is a plus.
  • A minimum of one (1) year of administrative support experience, ideally in a professional service, corporate, or law firm environment.
  • Proficiency in Windows operating systems and Microsoft Office Suite with advanced proficiency in Word and Excel. Experience using Smartsheet and Applicant Tracking Systems is a plus.
  • Ability to demonstrate a high degree of trustworthiness in handling confidential and sensitive information.
  • Excellent administrative and strong problem-solving skills.
  • Ability to prioritize and manage time effectively.
  • Possess reliability, dependability, and motivation.
  • Excellent organization and communications skills, both oral and written.
  • Ability to work in a fast-paced environment while exhibiting a strong attention to detail.
  • Ability to handle a variety of tasks simultaneously.
  • Exceptional client service, both internal and external.
  • Flexibility to work additional hours, as necessary.
