What you will be doing:

As the Accounts Payable and Payroll Associate, you will oversee the smooth flow of financial transactions within the company, including vendor payments, expense report reconciliation, and payroll processing. Your responsibilities will encompass verifying purchase orders, ensuring compliance with regulations such as 1099 issuance, and accurately recording payroll transactions. Additionally, you will play a key role in maintaining meticulous financial records, fostering trust and reliability within the organization. This position requires a detail-oriented individual with strong organizational skills and the ability to thrive in a fast-paced environment while adhering to strict confidentiality protocols.


We will depend on you for the following:


Accounts Payable Management:

Facilitate payment of vendors, ensuring accuracy by verifying federal ID numbers, reviewing purchase orders, and resolving discrepancies.

Monitor outstanding obligations, identify discount opportunities, and take necessary actions such as issuing purchase order amendments or stop-payment orders.

Handle all aspects of credit cards including setting limits, managing new users, approving expense reports, and providing assistance to staff as needed.


Financial Records and Compliance:

Receive and verify expense reports, reconciling them with account balances and financial records.

Assist in maintaining accounting records and ledgers by reconciling monthly statements and transactions.

Ensure compliance with 1099 regulations, including review and reconciliation of vendor activity and 1099 amounts.


Payroll Processing:

Enter, maintain, and process payroll information such as hourly rates, salaries, commissions, deductions, and withholding in the payroll system.

Prepare payroll files based on timesheets and other relevant data provided by management.

Coordinate payroll approval process with Controller and ensure accurate and timely submission.

Record payroll transactions in the accounting system and address any errors or discrepancies promptly.


What we are looking for:

High school diploma required; Business or Accounting degree preferred.

Certification such as Certified Accounts Payable Professional (CAPP) is a plus.

Reliability and trustworthiness are paramount for this role.

Ability to work independently and efficiently in a fast-paced environment.

Proficiency in Microsoft Office Suite and willingness to learn new accounting software systems.

Strong organizational skills with meticulous attention to detail.

Interpersonal Skills:

Excellent interpersonal and customer service skills.

Superior verbal and written communication skills.

Ability to maintain confidentiality and handle sensitive information with discretion.

Proactive approach to anticipating work needs and maintaining professional interactions with stakeholders.
