Executive Assistant to Chief Financial Officer


Job Details

Our client, a multinational law firm, is seeking an Executive Assistant to support the CFO, in their San Francisco office!


Responsibilities:

  • Ensure exemplary client service and promote a client-centric approach within the department and teams, addressing peer requests aligned with client or firm needs.
  • Maintain confidentiality and handle communications to and from the CFO with diplomacy, managing inquiries effectively.
  • Assist in managing vendor inquiries and attend to the administrative needs of the CFO, including document preparation and office organization.
  • Initiate and collaborate on administrative projects to support the CFO and improve processes.
  • Coordinate meeting requests for the CFO, facilitating scheduling and ensuring seamless service for high-level meetings.
  • Organize and prepare for staff and organizational meetings, including agenda preparation and logistics coordination.
  • Arrange travel for the CFO and assist in various aspects of project planning and implementation.


Qualifications:

  • Bachelor s degree strongly preferred.
  • Five or more years of executive assistant experience preferred, ideally supporting senior executives or professional services partners.
  • Experience in a law firm or professional services environment strongly preferred.
  • Strong communication skills, capable of diplomatically interacting with senior management and all levels of firm personnel, representing the CFO professionally.
  • Proven ability to maintain confidentiality and handle inquiries into sensitive matters with diplomacy.
  • Advanced proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Strong research skills, including electronic searches and database use.
  • Excellent organizational skills, able to manage multiple detailed projects simultaneously.
  • Ability to analyze needs and prioritize tasks based on business objectives, exercising independent judgment.
  • Exceptional attention to detail and commitment to follow-through.
  • Capacity to remain composed under pressure and manage conflicting demands.
  • Willingness to maintain a flexible work schedule and work overtime as necessary.
