About the OpportunitySummary

The Program Coordinator, Global Engagement is a member of the University Advancement Global Engagement team and serves an important role in supporting the Global Engagement team.

Under the direction of the Senior Associate Director for Global Engagement, the Program Coordinator will:

1) Assist in the planning and production of successful live and online programs, events, and activities from concept to conclusion, including, but not limited to initiatives that engage the global campus network and alumni communities;2) Generate and facilitate event audiences through consistent communication, creation and maintenance of registration forms, entering data into appropriate systems (CRM, Cvent), and managing outputs needed from appropriate systems (e.g. attendance lists, reports, name badges);3) Engage in post-event analysis and make recommendations for adaptations;4) Act as a customer service-focused resource for the members of the global university community, including internal colleagues, alumni, parents, students, friends, vendors, and other external and internal entities; and,5) Help coordinate event logistics including researching venues, caterers, entertainers, photographers, transportation carriers, etc.; and,6) Provide additional administrative and event support to the global campus network.

Additionally, the Program Coordinator will perform other duties and special projects as assigned.

The Program Coordinator is a fully contributing member of the Global Engagement team. They must be able to represent the university, the Advancement Division, and the Alumni Relations team in a professional, enthusiastic manner with customer service and team focus. As a member of the Advancement Division, it is essential for the Program Coordinator to understand and support the role philanthropy plays in engaging the Northeastern community.Qualifications

Bachelor s degree required. Experience working in an office environment with a background in event planning and/or customer service. Experience working in higher education with alumni is a plus.This role requires excellent coordination, organization, and written and oral communication skills. Ability to work independently and in a team environment on several projects at a time is necessary. The ideal candidate will also be detail-oriented with strong customer service and interpersonal skills and have a high level of self-confidence and enthusiasm. A self-starter who is flexible to changing priorities, adaptable to new systems and able to interact professionally with alumni, volunteers, students, parents, staff, faculty, vendors and external entities is preferred.

Candidate will have demonstrated proficiency with virtual communication platforms and online learning tools. Strong computer skills including proficient use of Microsoft Office is required. Knowledge of creative and project management software such as Adobe Photoshop, Canva, Final Cut, and Asana is preferred. Experience with Ascend (or comparable CRM platforms) and Cvent (or comparable event management software) is helpful.

Evening and weekend work is required as event, program and activity needs dictate, along with occasional domestic and international travel throughout the global campus network. This position requires some lifting of heavy items and/or use of a hand truck for event supplies and equipment.Key Responsibilities & Accountabilities

Event Development and Production AssistanceIn partnership with the Director and Senior Associate Director, initiate successful programming and stand-alone events including, but not limited to: meetings, receptions, dinners, speaker series, networking opportunities, and conferences as directed. Manage/maintain event registration databases, forms, and needed outputs (e.g. nametags, registration lists) for events and activities.Cross-team Collaboration and Program DevelopmentProactively engage with Global Engagement team members, Advancement staff, and constituents to consistently support initiatives across the global campus network. Assist with curriculum development and alumni recruitment for Navigator. Source materials and execute communications strategy for Global Giving Day. Recruit and manage volunteers and/or temps/students for the Commencement Merchandise experience.Develop and maintain relationships across the network while capturing accurate data to inform decision-making. Collaborate with the Director and Senior Associate Director to enhance all initiatives on an ongoing basis.Prioritize global campus network collaborations to maximize resources and provide meaningful engagement opportunities to all Northeastern community members.Team Administrative SupportSupport team operations and help manage inquiries (email, phone, and mail) from alumni, campus, community, and general public. Assist team with website updates. Support the efforts of the Advancement Information Systems team by following procedures to maintain accurate information and addresses for alumni.Position TypeGeneral Administration
