Requirements

  • Oversee the review and processing of vendor invoices, ensuring proper coding, approvals, and timely payments.
  • Develop a working environment that fosters positivity, collaboration, and career development.
  • Hire, supervise, train, and manage the AP staff through coaching, mentorship, and weekly one-on-ones.
  • Implement best practices for AP procedures, including automation and process improvements.
  • Continuously evaluate and enhance the AP department's performance, implementing strategies for continuous improvement.
  • Ensure consistent and accurate GL coding.
  • Set-up, maintain, and streamline approval workflows (Accounting System is AppFolio) to minimize bottlenecks and ensure timely payments.
  • Understands the relationship of AP with the GL to provide problem-solving for reconciling issues and be able to recommend journal entries, if needed.
  • Assist in month-end close and develop processes to ensure a quick AP close.
  • Assist in the annual budgeting process and contribute to monthly forecasting activities.
  • Prepare cash flow forecasts based on expected payment cycles. Review disbursements to decide payment priorities to meet clients' distributions each month.
  • Research and resolve questions, issues, and problems affecting accounts payable and provide timely communication to vendors and internal departments.
  • Manage vendor onboarding, relationships, and performance and maintain all W-9's, insurance, and contracts.
  • Process 1099's at year-end, completing audits of vendor data throughout the year to ensure timely processing of 1099's.
  • Special projects and additional duties as needed or assigned.
Qualifications and Skills:
  • Bachelor's degree in Accounting, Finance, or related field; Master's degree a plus.
  • 5+ years of experience in a large organization's AP department, with at least 2 years in a managerial role.
  • Familiarity with accounts payable automation software and ERP systems.
  • Work experience in handling high volume AP.
  • Knowledge of generally accepted accounting principles (GAAP) related to AP.
  • Proficient in Microsoft Office Suite, with intermediate to advanced Excel skills. Ability to learn new software quickly.
  • Possess an analytical, curious, and strategic mindset, with a yearning for continuous improvement.
  • Strong process improvement background with a history of implementing successful process changes.
  • Exceptional leadership, organizational, and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Must be able to work independently and supervise AP Associates.
